1. Who we are
Leadtrak.ai ("we", "us", "our") is a UK-registered company based in Yorkshire, United Kingdom. We are the data controller for account and billing data, and we act as a data processor on your behalf for lead data you collect through funnels you build (see section 4). Company registration number and registered office are placeholders pending finalisation — contact hello@leadtrak.ai for the current registered details. 2. The data we collect
Account and billing data (controller): your name, email address, billing details, and payment records where applicable. We collect this to provide the service, authenticate you, and bill you.
Service usage data: log data such as IP address, device and browser type, and interaction events within the application, used for security, debugging and improving performance.
Lead data you collect (processor): the contents of the funnels you publish — names, contact details, answers and any other personal data your respondents submit. This data belongs to you, not to us, and we process it only on your instructions.
3. Legal bases for processing
Under Article 6 UK GDPR we rely on:
- Contract (Art. 6(1)(b)) — to provide the service you signed up for.
- Legitimate interests (Art. 6(1)(f)) — for security, fraud prevention and product improvement, balanced against your rights.
- Consent (Art. 6(1)(a)) — for optional marketing communications, which you may withdraw at any time.
- Legal obligation (Art. 6(1)(c)) — to retain certain records for tax and accounting law.
4. Data we process on your behalf
Where you use Leadtrak to collect leads, you are the controller and we are the processor. Our processing is governed by a data processing agreement (the terms of service incorporate standard contractual terms). We do not use lead data for our own purposes, do not train models on it, and do not sell it.
5. Data hosting and international transfers
Customer data is hosted in the EU/UK. Where we use sub-processors that process data outside the UK/EEA, we rely on appropriate safeguards such as the UK International Data Transfer Agreement (IDTA) or standard contractual clauses. A list of sub-processors is available on request.
6. Data isolation and security
Data is isolated per tenant at the database level, and this isolation is tested. We apply encryption in transit and at rest, access controls on a least-privilege basis, and monitoring. No method of transmission or storage is completely secure, but we maintain measures appropriate to the risk.
7. Retention
We keep account and billing data for as long as your account is active and for the period required by law afterwards. Lead data is retained according to your plan and your instructions; you can export or delete it at any time from within the product. On account closure we delete or anonymise account data within a defined period, subject to legal retention obligations.
8. Your rights
Under UK GDPR you have the right to access, rectify, erase, restrict and port your personal data, and to object to processing based on legitimate interests or to direct marketing. You may also lodge a complaint with the Information Commissioner's Office (ico.org.uk). To exercise any right, email hello@leadtrak.ai. We respond within one month as required.
For lead data where we act as processor, we action erasure requests from the controlling customer (you); if a data subject contacts us directly we will direct them to you and, where instructed, hard-delete the relevant records.
9. Cookies and similar technologies
We use strictly necessary cookies to operate the service and, with consent, analytics cookies to understand usage. The tracking pixel used in published funnels is a first-party tool for attribution by the funnel owner and is governed by that owner's own privacy notice.
10. Children
Leadtrak is a business product and is not directed at children. We do not knowingly collect personal data from anyone under 16 without appropriate consent.
11. Changes to this policy
We may update this policy. Material changes will be notified by email or in-product. The "last updated" date reflects the current version.
